A brand’s sustainability claim is only as strong as the paper behind it. When a retailer asks “prove this boucle contains recycled polyester,” the answer is not a logo on a swing tag; it is a set of traceability documents that follows the fiber from source to your cutting table. This guide lists the documents a fabric buyer should be able to request from any mill, what each one actually proves, and where buyers get misled.

The Document Set That Proves a Fabric’s Story

Five documents cover most audits. A transaction certificate (TC) proves a specific shipped volume was certified under a scheme such as GRS or OCS; it is issued per transaction, not per company. A scope certificate (SC) proves the mill is certified at all; check its validity date and that your fabric category sits inside its scope. A mill test report (MTR) records the lab results for your batch: composition, weight, colorfastness. A fiber composition declaration states the blend percentages the mill will defend contractually. Chemical conformance documents, such as ZDHC MRSL conformance levels, cover what went into the dyeing and finishing baths. A claim without the matching document is marketing; the Textile Exchange standards library is the reference for what each scheme requires.

Where Traceability Usually Breaks

Three breakpoints cause most failed claims. Upstream blending: a mill buys recycled yarn from a trader and cannot produce the trader’s own TC, so the chain-of-custody breaks at step one. Volume mismatch: the TC quantity does not match the shipment quantity on the commercial invoice, which auditors flag immediately. Substitution between approval and bulk: the swatch was certified fabric, the bulk run was not. What to Ask For, in Order

Before sampling: the SC and one TC issued this season from the certified line, so you know the mill can issue documents at all. At approval: an MTR for the approval lot, and the declared blend in writing. Before bulk shipment: the TC naming your invoice quantity, the MTR for the bulk lot, and chemical conformance evidence for the dye lot. For stock purchases the same rules apply; buying from certified ready-stock fabric shortens the chain because the rolls, the documents and the mill sit under one roof. Reading the Documents Like an Auditor

Four checks catch most problems. Match the SC number on the TC to the certifier’s public register. Match TC quantity to invoice quantity, within tolerance. Match the MTR composition to the declared blend, since a 70/30 wool claim against a 62/38 lab result is a claim that dies in customs or press. Check expiry dates; certificates expire mid-season more often than buyers expect.
